For our Client we are looking as soon as for an Administrative Assistant (f/m/d). In the role of an Administrative Assistant you coordinates meetings and other activities for a team of people and clerical support to department managers and staff.
Short Description:
-
Manage and maintain calendars. Make business travel arrangements and manage travel itineraries. Plan and coordinate events and meetings on and offsite, including preparation of meeting materials

Maintain email aliases, distribution lists and shared directories (SharePoint). Responsible for maintaining permissions. Manage information by organizing and tracking on databases to synthesize and generate reports

Provide meeting support (onsite). Prepare agendas, take notes and distribute meeting minutes and presentations

Track action items and communicate status
Facilitate manager and staff communication -
Develop and maintain positive working relationships with staff, internal departments and outside vendors to effectively coordinate activities and collaborate on special projects

Answer phone calls / direct (or redirect) calls. Create presentations and maintain organization charts. (May be responsible for) maintaining Team SharePoint-Site
Your skills
- Education: at least one commercial apprenticeship or degree and relevant work experience as an Administrative Assistant (f/m/d)
- Knowledge of tools like: MS Office, Zoom, MS Teams, Sharepoint, PowerPoint, SFDC, Finance, Communication
- Language: prefered English as mothertongue, the more the better. At least Business English and German (B2 / C1) would be desirable
- We're looking for a good teamplayer with excellent creative written and verbal communication skills an strong organizational skills and time management
